Job Role Summary

The Surgery Scheduler coordinates all details involved in scheduling surgeries. This position is responsible for maintaining physicians' outlook calendars to be current and up to date with their surgery schedule.

Short Description

This is a surgery scheduler position for this large OBGYN Department that requires clinical background knowledge. LPN is preferred candidate but candidates with experience in surgery scheduling for large practice are welcome to apply.
The successful candidate will be detail oriented with the critical thinking skills a must. The ability to multitask and ensure that the OR case load is evaluated / managed for maximum cases appropriately scheduled to OR. Impeccable communication skills, both written and oral, are necessary in communicating with physicians, OR team, Nursing and patients. High volume of phone communication, focus on customer service and in depth attention to detail are required.

Essential Functions and Responsibilities

  • Coordinates all details involved in scheduling surgeries
  • Schedules surgeries and related pre- and post-operative appointments
  • Confirms surgery schedules and notifies patients of arrival times
  • Instructs patients on surgery and outpatient testing/appointments
  • Communicates information between the patient, surgical department, and providers
  • Responsible for maintaining physicians' outlook calendars to be current and up to date with their surgery schedule
  • Obtains pre-authorization for surgery from insurance carriers
  • Coordinates equipment and authorizations with the vendors when applicable
  • Responsible for delivering patient consent for surgery to the surgical department
  • Completes and faxes procedure/testing paperwork efficiently and accurately
  • Schedules outpatient appointments that applies to the surgery as requested by the physician(s)
  • Addresses patient concerns on surgery and pre-surgical appointments
  • Functions as a team player with all employees, demonstrating willingness to serve wherever needed and considering all work to be done
  • Complies with HIPAA regulations

Job Requirements

  • High School Diploma or equivalent (GED)
  • Associate's degree preferred
  • Minimum of 6 months of experience in medical front office work with experience with coding and scheduling

Knowledge, Skills & Abilities

  • Ability to effectively communicate information between the patient, surgical department, and providers
  • Knowledge and ability to use various scheduling systems, registration systems, Microsoft Office, Windows Programs, databases, tracking systems, and Internet
  • Must demonstrate a positive demeanor at all times, excellent customer service skills and good oral/written communication skills with the ability to effectively communicate with clients, families, and all stakeholders
  • Ability to:
    • maintain a high professional standard in both appearance and approach
    • make quick and accurate decisions
    • triage and track phone calls from clients, staff, and outside agencies
    • handle crisis situations
    • resolve check-in, registration, check-out, and scheduling issues
    • track data and paperwork using various software and processes

    • assist team with referral process for clients
    • maintain and update client files
  • Strong interpersonal skills and possess basic mathematical skills
  • Possess excellent telephone manners
  • Basic knowledge of medical/psychiatric terminology
  • Working knowledge of insurance and third party payers, client billings and accounts processes
  • Must be detail oriented
  • Must be efficient and accurate with completing and faxing procedure/testing paperwork
  • Capacity to work on multiple tasks at once
  • Knowledge of medical terminology
  • Familiarity with insurance procedures and other clerical qualifications
