Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 333-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus including at a network of Eskenazi Health Center sites located throughout Indianapolis.
Position Summary
Reporting directly to a Chief‑level Executive or Senior Leadership Team member, the Senior Executive Assistant (Project Administration Focus) is a key partner to senior leadership designed for a proactive, analytical, and technically capable professional. This position goes well beyond traditional support and requires the ability to independently manage complex priorities, produce and interpret executive‑level reports, and drive key initiatives forward.
The successful candidate will serve as a trusted thought partner to senior leaders—anticipating needs, proactively identifying solutions, and providing informed recommendations. In addition to managing their executive admin operations, this role plays a critical part in coordinating programs, tracking deliverables, and ensuring visibility into progress across high‑priority initiatives. Advanced technology skills, sound judgment, and the ability to operate with discretion and confidence in a fast‑paced healthcare environment are essential.

Key Responsibilities
Project Management & Strategic Support
- Manage and execute special projects and executive-level assignments from planning through completion
- Establish objectives, determine priorities, track progress, and adjust plans as priorities evolve
- Prepare executive reports, presentations, dashboards, and data analyses to support decision-making
- Research, compile, and synthesize information for senior leadership
- Coordinate across departments to ensure deliverables are completed accurately and on time
Executive & Administrative Support
- Provide senior-level administrative support with minimal supervision
- Manage executive calendars, correspondence, meetings, and travel arrangements
- Ensure meeting materials and briefings are prepared in advance and error-free
- Attend meetings and prepare minutes as requested
- Screen and prioritize inquiries using sound judgment and discretion
Operational Excellence & Communication
- Maintain awareness of executive priorities and proactively surface issues requiring attention
- Clearly communicate concerns, deadlines, and risks to the executive leader
- Maintain confidential electronic and paper records
- Create and manage databases, Excel spreadsheets, and tracking systems
- Provide continuity and reliability within Hospital Administration operations
Qualifications
- Bachelor’s degree in Business Administration or related field with 2 years of relevant experience
OR - 8 years of directly related executive or senior administrative support experience
Preferred Skills
- Strong project management, organizational, and prioritization skills
- Ability to anticipate needs and adapt to changing priorities
- Advanced written and verbal communication skills
- High degree of professionalism and discretion
- Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint)
- Medical terminology experience preferred
