Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis.

Job Role Summary

This position is for an insurance coordinator in the outpatient rehab department.

The Insurance Coordinator for Rehabilitation Services requires daily monitoring of rehab insurance authorizations and the need to communicate authorizations and denials with the treating therapist.  This includes verifying patient insurance eligibility, updating referral communications, obtaining prior authorization when needed, scheduling appointments consistent with patients’ insurance plan, and processing all appropriate paperwork.  The insurance coordinator will provide intermittent cross coverage to the rehab front desk for check-in and registration.

Essential Functions and Responsibilities

Referral Management: Consistently manages and updates therapy referrals with insurance authorization information in a timely manner
  • Manages referral work queues
  • Referral status is updated in accordance with all required insurance elements
  • Referral Communications section is consistently updated
  • Manages multiple referrals to ensure that only one referral per discipline per diagnosis is active at one time

Insurance Authorization: Identifies patients requiring insurance authorization and completes the authorization workflow in a timely manner
  • Verifies insurance and identifies any out-of-network patients
  • Prioritizes high priority authorizations
  • Completes and submits insurance authorization forms and supporting documentation
  • Receives and files faxed authorization verification
  • Requests documentation from therapists
  • Responds and promptly initiates appropriate workflow when therapists request extension

Insurance Follow-Up: Ensures that all insurance authorization requests and denials are attended to in a timely manner
  • All outstanding authorization requests will be followed-up on within 7-10 business days
  • All authorization denials will be communicated with the Rehab QI Specialist and Manager within one business day
  • Promptly responds to third party reviewers for additional documentation and submits within 1-2 business days
  • Facilitates third party peer-to-peer documentation review requests

Professional Communication/Collaboration: Demonstrates consistent and prompt professional communication with patients, customers, staff, and payors
  • Communicates out-of-network plans with patient, registrar, therapist, and management
  • Consistently checks and participates in electronic communication
  • Participates in orientation and instruction of new personnel

Performance Improvement: Identifies ways to improve work processes and improve customer satisfaction. Makes recommendations to supervisor, implements and monitors results as appropriate
  • Participates in quality improvement processes as requested by leadership
  • Provides leadership with data trends related to denials
  • Identifies and communicates payor authorization changes that require workflow changes

Time & Priority Management: Minimizes time away from work and prioritizes multiple tasks to maximize time spent performing job duties

  • Follows appropriate procedures for scheduled time off requests and proactively communicates time off with other team members
  • Completes all assigned tasks and/or special projects on time without reminders

Administrative Support: Provides scheduling and registration support
  • Updates insurance verification on the hospital account when indicated
  • Assists with clinic registration and scheduling front desk duties as needed
  • Completes other job duties as assigned by Management and identified by Rehab QI Specialist

Phone Management: Answers phone calls consistently and initiates professional phone communication with customers when needed
  • Maintains PHI in accordance with HIPAA guidelines
  • Uses standard language when managing phone calls per departmental policy
  • Accepts and implements needed improvement based on feedback from phone audits

Financial Stewardship: Demonstrates knowledge and commitment to department's financial practices
  • Knowledge of billing criteria for Medicare, Medicaid and other insurance carriers
  • Directs patient to financial counselor when appropriate
  • Communicates patient insurance changes with provider

Job Requirements

  • Completion of a general high school education or GED. Associate's degree in Business preferred
  • Minimum of one year experience in a position requiring similar duties.
  • Experience in healthcare setting insurance authorization preferred.
