Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis.

Job Role Summary

Receiving, Distribution, and Linen Manager; contributes to the ongoing achievements of Eskenazi Health's financial and service goals by faceting supplies, equipment distribution, par levels, revenue management, and receiving for assigned locations, which includes offsite clinics and Linen, with emphasis on planning, leadership, personnel management, accreditation, financial management, continuous process improvement, quality management, customer service, and efficient utilization of resources. Responsible for overseeing the team of Linen Attendants and supervisor and work towards achieving the operational objectives while ensuring that the operational standards are met. Additionally, the position is responsible for managing overall daily operations for Linen and the Linen rooms, providing quality controls are in place, managing customer service inquiries, and managing the receipt and distribution of required quantities of clean Linen throughout the hospital.

Essential Functions and Responsibilities

•    Directs and manages receiving, Linen, and stockless database process consisting of counting, ordering, delivery, replenishment, discrepancies, backorders, and billing and distribution and delivery of clean Linen throughout hospital areas
•    Manages ongoing analysis, development, and implementation of methods and systems to improve overall efficiency and effectiveness of services and functions
•    Directs and manages Linen 
•    Manages and directly supervises supply and receiving and linen personnel 
•    Ensures the staff has adequate training to perform their duties
•    Responsible for staff recruitment, hiring, terminations, discipline, training, and performance evaluations
•    Administratively supervise all linen attendant personnel and payroll procedures (i.e., performance appraisals, time cards, disciplinary actions, training of new employees, ensure that team members adhere to all Health and Safety Regulations). 
•    Directly responsible for contracted Linen Services. Services regarding respective adequate supply levels and quality of service. Also schedules preventative maintenance of linen equipment. Ensure new hospital employees receive linen scrub cards. 
•    Ensure the prompt and timely collection of soiled lines from hospital areas into loading carts for periodic shipments during each day. 
•    Monitor departmental stock levels to ensure appropriate supply of Linen. 
•    Deal directly with contracted Linen Services regarding respective inadequate supply levels or quality of service. Also, schedule preventative maintenance of equipment. Ensure new hospital employees receive scrub cards.
•    Directly responsible for dealing with contracted Linen Services.

•    Responsible for all facets of supply, equipment distribution, par levels, revenue management, and receiving for assigned locations, with emphasis on planning, leadership, personnel management, accreditation, financial management, continuous process improvement, quality management, customer service, and efficient utilization of resources
•    Responsible for the accurate receipt and timely delivery of supplies and equipment; Accountable for a smooth, uninterrupted flow of needed supplies and equipment
•    Oversees all distribution responsibilities, including par level maintenance and stockless functions at Eskenazi health and all offsite clinics
•    Reconciles deliveries for billing accuracy manages communication and problem solves while working closely with all departments, along with Purchasing and Central Service and all offsite clinics 
•    Maintains accurate records
 

Job Requirements

•    Associate's degree in business, supply chain, health care, health care management, patient experience, or purchasing experience with at least 3 years of relevant experience preferred;  5 years of relevant experience may be accepted in lieu of education
•    Other experience should include computer applications for inventory and supply management, and general computer applications such as Word, Excel, and Access for analysis and reporting functions   
•    Must work with frequent deadlines and "quick-turnaround" requirements
•    Comply with internal policies and procedures, and regulations from TJC, FDA, OSHA, and others, and yet maintaining timely availability and delivery of quality products 
 

Knowledge, Skills & Abilities

•    Experience managing both non-exempt and exempt staff
•    Excellent communication and interpersonal skills – written, verbal, and leadership
•    Ability to coordinate and organize multiple tasks and projects at once 
•    Experience leading group projects and decisions
•    Maintains cost-effective and efficient operations related to inventory and revenue management for supplies and receiving and distribution and Linen for assigned location and facilities; Actions/judgment could impact the quality of supplies recommended/accepted, therefore, affecting supply expense and quality of patient care
•    Identifies and utilizes technology and personnel necessary to achieve high levels of customer satisfaction while meeting Eskenazi Health's financial objectives  
•    Maintains up-to-date optimum standards of quality consistent with department policies and procedures  
•    Maintains a system for validating quality and monitors regularly, taking corrective action when necessary  
•    Analyzes "system" failures that may limit employee performance and take measures to correct such so that desired outcomes are achieved
•    In-depth knowledge of Hospital/institutional laundry or linen supply services.
•    Directly manages Linen Attendants 
•    Accuracy, dependability necessary to monitor linen orders/supply levels
•    Ability to evaluate, access, develop, institute, and enforce new or existing policies and procedures to ensure excellence in the receipt, storage, and replenishment of supplies using stockless and traditional materials handling principles  
•    Extensive knowledge of par level, receiving, and stockless software for supply management 
•    Excellent knowledge of products, hospital departments, and functions  
•    Ability to manage, train, motivate, and schedule personnel  
•    Frequent mobility and the ability to lift, move, pack, store, and carry heavy supplies  
•    Other critical skills needed include:
