Job Role Summary
The Quality Assurance Specialist is responsible for monitoring program data integrity. The QA Specialist develops and maintains processes to monitor compliance with grants, contracts, and programs as well as writes written monitoring reports on a regular basis.
Essential Functions and Responsibilities
• Review participant files for data entry errors, incomplete records, or incorrect information.
• Compare data with source documents to detect errors in uploads.
• Develop secure storage processes and assist with policies to insure data security.
• Read grant and regulatory documents to validate and maintain compliance for data collection.
• Maintain logs of activities and completed work.
• Resolve garbled or indecipherable case notes, documenting clarification.
• Conduct routine and non-routine analyses of data to verify compliance with processes and procedures are being followed.
• Write action plans to improve data integrity.
• Monitor staff data quality and create training documentation to resolve issues.
• Interpret monitoring results, compare them to established specifications and control limits, and make recommendations on appropriateness of data for release.
• Assist the Director of Grants Administration, Research and Analysis with interpreting reports to meet the requirements of the grantor.
Job Requirements
• Associate’s degree in related field with 5 years’ experience in quality assurance or 8 years’ experience in quality assurance.
• Two years’ experience in case management.
Knowledge, Skills & Abilities
• Knowledge and skills in social service best practices, data collection and experience in program implementation.
• Monitoring/Assessing performance of yourself, other individuals, or organizations to make improvements or take corrective action.
• Experience in social service programs providing training and assistance to individuals.
• Organizational skills and ability to trouble shoot, handle crises and prioritize work to address immediate issues while keeping on target to reach established goals and objectives.
• Skills in the use of computers and related technology including but not limited to, internet, email and databases, and software such as Smartsheet, Word, Excel and PowerPoint.
• Ability to understand grants and contracts with varied guidelines, rules and program reporting requirements to develop monitoring processes.
• Demonstrated ability to analyze data and use critical thinking to review data for accuracy and completeness.
• Ability to create and implement monitoring plans that address program specific goals.
• Ability to work and communicate with multi-disciplinary team consisting of professional and paraprofessional staff from various community agencies, foundations, government and business sector.
• Ability to communicate orally and in writing in a concise and easily understood manner, including public speaking and staff training.
• Giving full attention to what other people are saying, taking time to understand the points being made, asking questions as appropriate, and not interrupting at inappropriate times.
• Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
• Knowledge of arithmetic, algebra, statistics, and their applications.
• Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
• Knowledge of administrative and office procedures and systems such as word processing, managing files and records, designing forms, and workplace terminology.
