Job Role Summary

Directs the activities of the support and other staff members involved in maintaining immunization data in the county Client Management System, INSIGHT.  Responsible for ordering, receiving, tracking, and maintaining proper storage of vaccine inventory, both public and private, for all MCPHD sites. 


  • Skills and knowledge acquired through the completion of a bachelor’s of science degree in nursing
  • Three to five year of training or experience in Immunization, infectious disease or public health
  • Basic knowledge of the INSIGHT and CHIRP programs
  • Valid Indiana driver’s License
  • Valid Indiana registered nurse license

Essential Duties and Responsibilities

Policy Development and Leadership:

  • Provide training and guidance to support staff personnel 
  • Evaluate work processes and procedures; make recommendations for changes to enhance job performance. 



  • Assesses the immunization status of clients to determine the need for follow-up and/or additional immunizations.  
  • Assesses the immunization status of children attending school, day care, or other programs to determine if school enrollment requirements are met. 
  • Assesses vaccine stock levels at all MCPHD sites to assure adequate inventory
  • Evaluates and assesses the need for revision to the immunization-related components of INSIGHT.

  • Assures adequate vaccine availability for all district health offices through inventory ordering, tracking, receiving, and maintaining proper storage of vaccine stock 
  • Works closely with the Indiana State Department of Health Immunization Program  and the Marion County Public Health Department CIS departments to assure registry information is compatible 
  • Assures immunization information and/or immunization records  given to patients, parents, schools, day care center, public assistance programs and other health care providers is complete and accurate.  
  • Proficient in the use of the county (INSIGHT) and state (CHIRP) Immunization Registries.  
  • Promote, educate and enroll clients in MyVaxIndiana  
  • Prioritize projects and tasks to best address the departments’ needs and fulfill the agency’s mission 
  • Request immunization information from other health care providers and parents for patients whose records are incomplete.  
  • Assumes responsibility for safekeeping of confidential data received the program and oversees permanent storage of such data. Participate in public health emergency preparedness exercises and in the response to public health emergencies, as directed.  
  • Participate in a minimum of two H.O.P.E. events totaling a minimum of eight (8) hours annually 
  • Provide information regarding location, dates, and times of clinics 
  • Maintain confidentiality of all patient information. 
  • Assist in special immunization clinics, including but not limited to, back-to-school events and health fairs. 
  • Provide immunization information to other health care providers, schools, and parents. 
  • Attend staff and in-service education sessions; assumes responsibility for increasing/improving job knowledge.  


Other Duties and Responsibilities:

  • Serves on appropriate committees and task forces as assigned.  
  • Provide resources for regular trainings in vaccine storage and handling for public health nurses and other providers  
  • Assists in planning, implementation and logistics of immunization clinics sponsored by the health department throughout the county  
  • Collaborating with HHC staff and other organizations to assure the success of programs and projects 
  • Assists in the delivery of vaccine &/or supplies to district health offices, health fairs, and other events as directed. 
  • Train at the appropriate National Incident Management System (NIMS) and Incident Command System (ICS) level 
  • Performs other related duties as assigned.

Knowledge and Skills:

  • Language Skills
  • Must have knowledge of correct English grammar, punctuation, spelling and medical terminology as related to immunizations and other health care issues
  • Must be able to communicate effectively and tactfully with physicians’ offices, school personnel, Indiana State Department of Health personnel, parents, clinic staff, and patients, both orally and in writing
  • Must be able to convey sensitivity to patients’ needs and situations
  • Must effectively orient and instruct new employees
  • Must be familiar with medical, billing and coding terminology used in healthcare


 Mathematical Skills

  • Perform arithmetic computations, recognize, interpret, and correct errors in source documents, printouts, and immunization records
  • Perform arithmetic computations to perform vaccine inventory functions and produce accurate doses administered reports 


Reasoning Ability

  • Sound judgement and discretion is necessary to extract and disseminate information from records, and classify types of vaccines patients have received in the past
  • Ability to analyze health data, identify errors and form corrective actions
  • Ability to establish workload and prioritize assignments
  • Strict attention to detail and concentration is required to perform data entry duties
  • Ability to function effectively under pressure of regular deadlines and frequent interruptions
  • Sound judgement essential in contacts with public, medical, and public health community to ensure accurate information dissemination.
  • Must make decisions as to when to involve supervisor with programmatic issues.
