Job Role Summary

The position is responsible for managing the office, assisting the administrator in duties as assigned, providing clerical and secretarial support, assisting in the scheduling of work for the operation crews, answering the phone, and maintaining files for reports.


  • Maintains office files/records for efficient retrieval of information preparation of reports. 
    • Break down percentages and add addresses of each crew’s weight tickets from previous day’s work.
    • Write out each property reimbursement information and total cost sent daily to Housing.
    • Stamp and place co-ordinance on all (502) paperwork that is received from Housing and entered on to the weekly report.
    • Daily downloading of camera, attaching photos to document properties cleaned by EHSM.
  • Maintain daily date sequence of 502s, ensuring properties are done by most current date.
    • Correspond with Housing Inspectors for scheduling of court ordered and occupied properties.
    • Update property reimbursement information and total costs shared with Housing.
  • Maintain Billing records for the department
    • Using Accela – calculate labor hours, equipment hours, and administrative fees for each cleaned property, plus any additional weight over 10 tons.
    • Prepare and print billing letters to send to property owners and submit to the Recorder’s office for processing.
    • Investigate and prepare releases for paid fines of EHSM cleans.
  • Prepare documents upon as needed for court.
  • Prepare and distribute daily work logs for crews.
  • Screens visitors, mail, telephone calls and routes them to the appropriate person.
  • Orders supplies and equipment for the department as needed.
  • Other duties as assigned.


  • High school diploma or equivalent
  • 1-3 years of office experience
