Job Role Summary

The Legal Project Support Assistant provides administrative and operational support for projects primarily within the Legal Department, while also assisting with cross-functional initiatives involving other departments as needed.  This role is responsible for coordinating project activities, maintaining accurate and confidential documentation, tracking deliverables, and facilitating effective communications between legal teams, internal stakeholders, and external partners.

Essential Duties

  • Assist with research, data gathering, and preparation of reports or presentations related to legal initiatives and issues, including those of a sensitive or confidential nature.
  • Coordinate and track progress on legal department projects, ensuring timeliness and deliverables are met, and General Counsel and legal staff are well informed on that same.
  • Schedule and coordinate meetings, prepare agendas, and take minutes and/or notes as needed.
  • Prepare, organize, and maintain legal documents, contracts, and project-related records with a high degree of confidentiality and in an accurate manner.
  • Create and organize information and generate reference tools for easy use.
  • Support the legal team in managing communication with internal departments and external vendors or partners.
  • Monitor project deadlines and follow up on outstanding tasks or required actions.
  • Contribute to process improvements and the development of standard operating procedures for legal project workflows.
  • Other duties as assigned

Qualifications

  • High school degree required; bachelor’s degree preferred

Knowledge, Skills & Abilities

  • Sound judgment, including the ability to handle sensitive and highly confidential information.
  • Ability to deal effectively with individuals at all levels.
  • Professional temperament, including the ability to remain calm under difficult circumstances.
  • Proven time management skills, with an ability to effectively establish and execute priorities in a dynamic and changing environment.
  • Proficient in Microsoft Office (G-suite, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.

Working Environment

The majority of work is in an office environment.
