Job Role Summary

The HIM Operations Specialist is responsible for performing a variety of tasks that are moderate to complex in nature. These tasks include but are not limited to: administrative support, and assisting with the maintenance of HIM systems and processes such as Fluency Manager, Iron Mountain Portal, Document Imaging, and Chart Completion. The HIM Operations Specialist proactively contributes to Eskenazi Health's mission: Advocate, Care, Teach and Serve with special emphasis on the vulnerable population of Marion County; and models Eskenazi Health's values of Professionalism, Respect, Innovation, Development and Excellence.

Essential Functions and Responsibilities

  • Responsible for correspondence, telephone coverage, calendar maintenance, and special projects
  • Attends meetings and prepares minutes as requested
  • Maintains electronic and paper files, including employee records
  • May process and track departmental expenses; works with Accounts Payable and vendors to resolve any invoice discrepancies and questions
  • Instills and exhibits a welcoming environment for guests and callers
  • Prepares special or one-time reports, presentation materials, summaries, or replies to inquiries, selecting relevant information from a variety of sources; may assist in the research, analysis and interpretation of data under the direction of management
  • Assures meeting materials are prepared and ready for review prior to meetings
  • Prepares error-free correspondence, which may or may not require the personal attention of the executive leader
  • Receives and screens inquiries (phone, mail, e-mail and in person) utilizing appropriate judgment in responding or referring to other staff or to Eskenazi Health executives
  • Completes a variety of administrative duties that include, but are not limited to: making copies, collating documents, distributing correspondence, facilitating tracking systems, maintaining filing systems, processing travel receipts, maintaining office supplies and equipment, managing meeting rooms, managing mail, and distributes documents in Faxcom
  • Clearly communicates concerns and questions to the appropriate HIM Leader by keeping each consistently apprised of issues and situations that need attention
  • Completes projects and special assignments by establishing objectives, determining priorities, managing time, gaining cooperation of others, monitoring progress, problem-solving, and making adjustments to plans as needed
  • Prepares various forms, requisitions, purchase orders; works with Director(s) to ensure proper GL accounts are used for expenses
  • Communicates with Purchasing Department to monitor status of submitted requisitions and purchase order status
  • Ensures Departmental Orientation Checklist is provided and signed for new employees
  • Distributes updated and revised policies to staff
  • Assists with maintaining the Onbase work queue, ensuring documents are uploaded to the correct patient chart
  • Assists in adding new providers access to Fluency Manager and Iron Mountain Portal
  • Assists the Document Imaging area when workload is high (trained in prepping, scanning, and verifying)
  • Assists with Chart Completion and Identity job tasks and clean-up of queues when needed
  • Assists in various projects within the HIM area as needed

Job Requirements

  • Associates Degree in Business Administration or related field preferred; five years of directly related experience may be accepted in lieu of degree
  • Prior Health Information Management experience is preferred

  • Ability to maintain professional, calm demeanor at all times
