Job Role Summary

Serves as Customer Service Specialist in the Department of Vital Records and performs duties associated with the issuance of certified copies of Marion County birth and death records and any associated amendments to be sold to incoming customers, by using the NetSmart records management system and OnBase imaging system. Issues non-certified copies of birth and death records and appropriate related birth record documents and genealogy searches. Perform indexing of old records and maintain an average error rate of 1% or less weekly. Analyzes, researches and processes legal corrections Court Orders, certifiable facts and changes to all Marion County records of birth. Schedules appointments for walk-in customers who require one of the following; all Court Orders, Paternity Affidavit Upon Marriage, Paternity Affidavit, Adoption and Affidavits Requesting Amendments, with the required documentation and Identification Must be detailed oriented and able to service a wide range of diverse customers daily. Ability to speak/read Spanish is a plus. Communicates courteously and tactfully with all customers and staff. No specific grants are funding this position (funding is through General Funds in Vital Records budget).


  • High School diploma 
  • 1 to 3 years previous experience 
  • Minimum 5 years’ experience of vital Records, or 4 years of Vital Records experience and VRP certification 
  • Reliable transportation 

Licenses/Certifications Required

  • Valid driver’s license 
  • Valid automobile insurance

Knowledge, Skills & Abilities

Knowledge of:

  • Standard office practices and procedures
  • Personal computer operations and windows XP with standard software programs.
  • Customer service and satisfaction
  • Quality assurance


Ability to:

  • Maintain an average error rate of 1% or lower
  • Serve on various internal and external committees/groups/taskforces when requested.
  • Operate microfilm and microfiche readers and scanners
  • Operate standard office equipment and database programs
  • Type 30 WPM accurately
  • Work effectively and harmoniously with others
  • Communicate courteously/tactfully with customers, internal & external agencies and staff
  • Follow written and verbal instructions.

Working Enviornment

  • The work environment is an office setting and is a customer service/public area. 
  • There is periodic in-state travel to off-site meetings, training sessions, or conferences.  
  • Will use various software, internet, computer, printers and other office equipment as well microfilm and microfilm reader/printer.
