Eskenazi Health serves as the public hospital division of the Health & Hospital Corporation of Marion County. Physicians provide a comprehensive range of primary and specialty care services at the 327-bed hospital and outpatient facilities both on and off of the Eskenazi Health downtown campus as well as at 10 Eskenazi Health Center sites located throughout Indianapolis.

 

Job Role Summary

The Ambulatory Care Assistant answers phone lines within clinic guidelines, routes callers to appropriate destinations, answers caller questions when possible, and takes messages as needed. This position serves as the staff member to greet, direct and assist a patient who presents to their area.

Essential Functions and Responsibilities

  • Proactively contributes to Eskenazi Health's mission: Advocate, Care, Teach and Serve with special emphasis on the vulnerable population of Marion County. Models Eskenazi Health values of Professionalism, Respect, Innovation, Development and Excellence.
  • Schedules patient appointments in computerized scheduling system under clinic designated guidelines
  • Answers phone lines within clinic guidelines, routes callers to appropriate destinations, answers caller questions when possible, and takes messages as needed
  • Thoroughly and accurately completes the telephone message form as needed and routes to appropriate staff
  • Assists patients using problem solving skills
  • Serves as the staff member to greet, direct and assist a patient who presents to their area
  • Recognizes and responds to signs of patients in emergent distress and involves additional staff for intervention as needed
  • Performs check out and charge entry in designated clinics in the billing system within 24 business hours of services being provided
  • Gathers, interprets, and processes appropriate charge information (i.e. encounter forms, billing sheets, etc.)
  • Researches and resolves pre-bill edits for their assigned clinic(s)
  • Manages distribution of paperwork for billing and medical records purposes for their assigned clinic(s) (i.e. gathering materials for OnBase and UMDA)
  • Utilizes the Wysetech system to process referrals for testing and/or referrals from one clinic to another within two weeks of date of referral. Sends appointment information per policy through Wysetech and to patient. Verifies patient's insurance eligibility and benefits prior to scheduling appointments including obtaining pre-authorization as needed. Informs patients of scheduled testing appointments including patient financial obligation, obtained by utilizing electronic price estimator software.
  • Utilizes patient care skills to assist nursing within each clinic, including:
    • Triaging patients (completing weights, vital signs, blood sugar checks, obtaining urine specimens, etc.)
    • Drawing blood and submitting blood samples to the lab for ordered tests
    • Completing EKG's
    • Assisting with dressing changes
    • Administering and reading PPD tests

Job Requirements

  • High school diploma or equivalent (GED); Associate's degree preferred
  • Minimum of 6 months experience in a health care position preferred (billing, medical records, direct care, ect.)
  • Completion of hospital-based training in required patient care skills or CNA/MA credentials
  • Must pass multiple system applications/proficiency exams
  • Must pass annual competency exams as required

Knowledge, Skills & Abilities

  • Personal computer and standard office equipment proficiency
  • Ability to match, file and retrieve from an alphabetical and numerical system
  • Detail oriented, basic mathematical skills and ability to resolve check-out and scheduling issues
  • Work effectively under pressure of high patient volume, multi-tasking environment.
  • Ability to follow oral/written instructions
  • Ability to navigate multiple systems applications proficiently
  • Ability to complete assignments within required deadlines
  • Exceptional customer service skills and professional demeanor
  • Data entry experience with minimum typing speed of 50 wpm
  • Self-organization and self-management skills
  • Flexibility to adjust to changing job focus with the clinic based on clinic needs
  • Ability to maintain required thresholds for facility quality indicators/scorecards/audits
